If employees and contractors aren't aware of established policies and procedures, your organization's operations are at risk. Providing an accessible way for staff to check and learn policies and procedures is critical to the reliability and security of your operation.
AssetChief provides a tab where you can store and manage this: the Policies and Procedures tab.
You can add entries by clicking the "+" icon at the top. Anyone who has the Asset Supervisor role can add entries to the policies and procedures tab. If you do not have that role, then you can still submit changes but they won't apply until they are approved by someone with an Asset Supervisor role.
The database of entries is hierarchical: that is, you can add sub-entries under the top-level entries. Those can also have sub-entries and so on.
Once entries are made, they can be updated by clicking the Update button. Here you can update any fields as appropriate, and can optionally describe the necessity of the change in the "Why are you making this change?" entry at the bottom.
Finally, every entry can have an "Internal Justification". This provides a justification that can only be seen by Asset Supervisors, not by regular employees. These justifications can serve as a reminder as to why that policy exists. A justification can be set up to be reviewed on a periodic basis to see if it is still applicable or needs to be amended. To do this, once you are on the justification go to What's Next and select "Review":
Here you will specify the date of the next review and who will review it. They will then be sent an email when that time comes around, and the policy will be assigned to that person until they enter their review.
