As you're working on assets, if those assets are owned by customers you may want to allow your customers to view those assets and see the progress of any work orders or service requests relevant to them. You may also want to allow them to easily enter in feedback, raise service requests or incident reports. AssetChief lets you do this with the Customer role.
In this section we'll take you through adding a customer to AssetChief.
First go to the Users tab and click "Invite User".
Enter in the user's login ID and email, and then like usual you'll set the roles that this user has. In this case, you only select "Customer". This will apply the following:
1. They will only be able to see assets "assigned" to them
2. The Policies and Procedures tab will be hidden from them.
3. They will only be able to see their own user record.
4. They will only be able to see service requests, incident reports and visit requests that they have submitted themselves.
5. They will only be able to see Tour tab entries that are assigned to them.
6. The Lists tab will be hidden to them.
7. They will only be able to see Planning tab entries that are assigned to them.
You can choose whether to invite individual users, or create one login for all staff at a customer to use.
After they are invited, you will then have to individually assign the top-level assets you wish them to see. You do this by going to the asset, going to What's Next / Assign, selecting the user and checking "Only Make Visible, No Assignment":
Now when they login, they will only see those assets you've assigned them to see. Everything else will be hidden to them.
By default they will be able to see all work orders under those assets. If you want to have them only see work orders "assigned" to them, then select the "Work Orders" checkbox. You'll then have to go to the work orders and individually assign those to the customer, with the "Only Make Visible" option set.
To be sure the customer is set up correctly, you can enter your own email address into the Invite User, and login as the customer. Once you're sure it's working, edit the user's email address and click Reset Password to send a new password to them.
